Understand the process
Before drafting a procedure, map how decisions are made: who receives information, who checks it and who takes the next step.
Allocate responsibility
Practical documentation identifies responsibilities, escalation routes and where information is retained. Its value depends on whether it can be applied in daily work.
Revisit the assumptions
Changes in the business model, market or partners may call for another review of procedures. Documentation should be assessed against actual processes.
A document should lead to action
A procedure is useful when staff can answer practical questions: what to check, how to record the result, where to escalate a concern and who decides. One review method is to work through a real or illustrative client case from first contact to closure.
If responsibility or the location of essential information becomes unclear at any point, both the document and the process may need attention. A signature acknowledging a procedure does not explain how to apply it.
AML: establish the applicable obligations first
Article 50 of the Polish Anti-Money Laundering and Counter-Terrorist Financing Act applies to obliged institutions. It provides for an internal procedure appropriate to the nature, type and scale of the business, ongoing review and updates when needed. This does not mean that every business is an obliged institution; that status requires a separate assessment.
